Archive or Suspend Client Accounts and Reclaim Licenses
This article explains how to archive and suspend client accounts, when to use each action, and how to reclaim program licenses.
Summary
- Archiving hides a client from the client list but does not remove their access to MyUnyte or Programs.
- Suspending disables program access and logs the client out; use suspend (or Manage Delivery) to remove access.
- You can both suspend and archive a client; archived clients can be made visible again by unarchiving.
Key differences
- Archive
- Hides the client from the Clients list in MyUnyte and the App.
- Archived clients retain access to MyUnyte and Programs.
- Archived clients are visible again when you use the “Archived” filter or when you unarchive them.
- Suspend
- Logs the client out and disables their access to MyUnyte and assigned Programs.
- Use Suspend (or Manage Delivery) to remove access and, if a program license was assigned but never activated (no listening occurred), to allow reclaiming that license.
When to use each action
- Archive when you want to remove a client from your visible client list but do not need to change their access to MyUnyte or Programs.
- Suspend when you need to immediately disable a client’s access (for example, to log them out or to reclaim an unused program license).
- Use both suspend and archive for accounts that are no longer being used to both remove access and clean up the client list.
How to archive or suspend a client
- Click on Clients.
- Select the client you wish to archive or suspend.
- Click the appropriate button in the bottom-right:
- Archive (red)
- Suspend (green)
Viewing and restoring archived clients
- To see archived clients, apply the “Archived” filter in the Client Filters.
- To restore visibility, unarchive the client.
Reclaiming program licenses
- If a program license was assigned to a client but never activated (no listening has occurred), suspending the client or managing delivery will allow you to reclaim that license.
Troubleshooting note
- Suspending an account will log the client out; this can be used when a caregiver or client cannot switch accounts or needs to be prevented from accessing an old account.
Conclusion Use Archive to tidy your client list without changing access, and Suspend (or Manage Delivery) to remove access and recover unactivated licenses. Follow the three-step process (Clients → select client → Archive/Suspend) to perform either action, and use the “Archived” filter to view or unarchive clients when needed.
